HR OK handles workplace records carefully and limits collection to information needed to provide the service.

What we collect
We collect account and business details, employee records entered by authorised users, uploaded workplace documents, support communications, billing status and limited technical logs. HR OK does not ask businesses to store tax file numbers in employee profiles.
Why we use it
Information is used to authenticate users, operate the workspace, generate and review documents, monitor obligations, send requested notifications, process subscriptions, prevent misuse and improve reliability.
Sensitive workplace information
Businesses should only upload information genuinely needed for employment administration. Health, family and domestic violence, identity and right-to-work material require extra care. Access should be limited to people with a real business need.
Service providers and overseas processing
HR OK may use contracted hosting, database, authentication, payment, email, analytics and AI providers. Some processing may occur outside Australia. Providers are given only the access needed to perform their service and are subject to contractual and security controls.
Retention and deletion
Workplace law may require certain employment records to be retained. Businesses control their workspace content and should export records before cancelling. Account and backup data is deleted or de-identified under our retention schedule, except where law or security obligations require longer retention.
Security
We use encrypted connections, access controls, tenant separation, audit logging and restricted operational access. No online system is risk-free, so suspected unauthorised access should be reported promptly.
Access, correction and complaints
Authorised users can correct most workspace data directly. Privacy requests or complaints may be sent through the support contact in the product. We will verify authority before releasing workplace information.
